   Calendar and "Use" Requests 

for

the Mark Twain Village (MTV) Scout Hut,

the Patrick Henry Village PHV1 (one-story) Scout Hut,

or the PHV2 (two story) Scout Hut

  SO . . . 
 you want to use either the PHV or MTV Scout Hut for a meeting or event 
  . . . WHAT DO YOU DO? 

  First, check out the Facility Calendar, maintained by our Hut and Facilities Manager. Look at who is already using it before and after the time you need to use the hut.  Don't forget to allow yourself set up and cleanup time.  You are allowed to use more than one location at the same time, provided it is a one-time use and that you submit a separate request (reference the joint requests in your email).

  Second, decide upon a first and second choice.  Scout Huts are also used by the Boy Scouts and other private organizations based on availability--yours may not be the only request submitted.  Giving an alternative location/date/time will help expedite approval.

  Third, please submit your request no less than two weeks prior to your need.  This will not guarantee approval but will allow for turn-around time.  We are all volunteers and the Hut and Facilities Manager may not always be available to reply within a few days.

  Next, send an with the following information:

1) Organization and/or Troop Number
2) POC or Leader Name
3) Contact Phone Number and Email Address

4) Hut Locations:  MTV/FR (front room), MTV/BR (back room), PHV1/LR (large room), PHV1/CR (conference room), PHV2/UP (upstairs), PHV2/DOWN (downstairs)
*** be sure to list your 1st choice and 2nd choice of location/date/time ***
5) Whether this is a one-time, monthly, weekly, etc. use
6) Whether you have already checked the calendar
7) That you have read the SOP, available for download above
8) Whether you have or need a key

  Finally, DO NOT ADVERTISE your meeting or event until it has been officially approved.
